Terms and Conditions

Mobile Bar Hire – Terms and Conditions (Updated)

  1. Definitions
  • Company – The business supplying the mobile bar unit(s).
  • Hirer – The individual or organisation hiring the mobile bar.
  • Equipment – The mobile bar unit, container structure, bar counters, fixtures, fittings, lighting, refrigeration, taps, and any additional equipment supplied.
  • Hire Period – The agreed period from delivery to collecton of the mobile bar
  1. Booking & Payment
  1. A booking is confirmed once the booking form is completed and the deposit is received.
  2. A non-refundable deposit of 25–50% is required to secure the booking date.
  3. The remaining balance must be paid no later than 14 days prior to the event or hire start date unless otherwise agreed.
  4. Bookings made within 14 days of the hire start date require full payment at the time of booking.
  5. The minimum hire period is 5 days unless otherwise agreed in writing.
  1. Delivery, Setup & Collection
  1. The Company will deliver and position the mobile bar at the agreed location.
  2. The Hirer must ensure adequate access for delivery vehicles, including sufficient space, safe ground conditions, and clearance for unloading.
  3. Any additional costs incurred due to restricted access, delays, or unsuitable ground conditions may be charged to the Hirer.
  4. Once installed, the bar unit must not be moved by the Hirer or any third party.
  5. Collection will take place at the agreed time following the end of the hire period.
  1. Power, Water & Waste Responsibilities
  1. The Hirer is responsible for providing a suitable electricity supply on site and ensuring it is safely connected for operation of the bar equipment.
  2. The Hirer is responsible for providing access to water if required for the event.
  3. The Hirer is responsible for all waste generated during the hire period, including disposal of rubbish, liquids, and any event waste.
  4. The Company accepts no responsibility where services such as electricity, water, or drainage are unavailable or unsuitable.
  5. All electrical equipment supplied by the Company will be Portable Appliance Tested (PAT tested) prior to delivery to ensure compliance with safety regulations.
  1. Licencing & Alcohol
  1. The Hirer is responsible for ensuring all necessary event licences or permissions are obtained, including any Temporary Event Notices (TENs) where required.
  2. The Company reserves the right to refuse service to any person who appears intoxicated or underage.
  3. No alcohol will be served to any person under the age of 18.
  1. Damage, Loss & Equipment Responsibility
  1. The Hirer is responsible for the safety and security of the mobile bar and all supplied equipment during the hire period.
  2. Any damage, loss, or theft of equipment during the hire period will be chargeable to the Hirer.
  3. The Hirer will be liable for the full cost of repair or replacement of damaged equipment.
  4. The bar must be returned in reasonable condition, allowing for normal wear and tear.
  1. Health & Safety
  1. The Hirer must ensure the event environment is safe and suitable for the operation of the mobile bar.
  2. Adequate space must be provided to allow safe access for staff and guests.
  3. The Company reserves the right to suspend operation if conditions are deemed unsafe.
  1. Cancellation

If the Hirer cancels the booking:

  • More than 30 days before the event – deposit retained
  • 14–30 days before the event – 50% of the total hire fee payable
  • Less than 14 days before the event – full hire fee payable

The Company reserves the right to cancel due to circumstances outside its control. In such cases, any payments made will be refunded.

  1. Liability
  1. The Company will not be responsible for loss or damage to property belonging to the Hirer or event guests.
  2. The Company will not be liable for injuries or incidents caused by misuse of the equipment or unsafe event conditions.
  1. Force Majeure

The Company shall not be liable for failure to perform its obligations due to circumstances beyond its control, including but not limited to:

  • Severe weather
  • Government restrictions
  • Road closures
  • Power failure
  • Mechanical breakdown
  • Acts of God
  1. Photography & Marketing

The Company reserves the right to take photographs of the bar setup and event environment for marketing and promotional use, unless the Hirer requests otherwise in writing.

  1. Agreement

By confirming a booking, the Hirer agrees to abide by these Terms and Conditions of Hire.

 

Delivery & Collection

Delivery and collection costs are not included in the hire price.

Delivery charges will be calculated based on:

  • Distance to site
  • Access for delivery vehicles
  • Waiting time or restricted access
  • Specialist lifting or positioning requirements if required

A delivery quotation will be provided when the booking is confirmed.

Damage Deposit

A refundable damage deposit of £500 is required before delivery of the bar unit.

Deposit Terms

  • The deposit must be paid prior to delivery.
  • The deposit will be returned within 7 days of collection, subject to inspection.
  • Any damage, loss or theft of equipment during the hire period will be chargeable to the hirer.
  • Costs for repair or replacement may be deducted from the deposit.
  • If damage exceeds the deposit value, the hirer will be responsible for the remaining balance.

Setup Requirements

The hirer is responsible for providing:

  • A suitable electricity supply connection
  • Access to water supply if required
  • Waste disposal arrangements for the duration of the hire
  • Suitable ground conditions and access for delivery vehicles

All electrical equipment supplied will be PAT tested prior to delivery.

Equipment Responsibility

The hirer is responsible for the care and security of the bar unit and all supplied equipment during the hire period.

Any damage, loss or theft of equipment will be chargeable to the hirer.

Licensing

The hirer is responsible for ensuring that all required event licences or permissions are in place, including any Temporary Event Notices where required.

Booking & Payment

  • A booking is confirmed once the deposit payment is received.
  • The remaining balance must be paid 14 days prior to the hire start date.
